Most investors never see their investment property in person more than two or three times. They trust that regular inspections are happening — and that those inspections mean something.
In practice, the standard for what qualifies as a routine inspection varies considerably across the industry. And the gap between a thorough inspection and a superficial one is rarely visible from the report alone.
The problem is not that inspections are being skipped — although that does happen. The deeper problem is that most inspection reports tell you almost nothing useful.
"A report that notes 'property in good order' with a handful of photos may make you feel a bit better as a landlord. But it rarely catches what it needs to."
It rarely catches a slow bathroom leak that has been seeping into the subfloor for months. It rarely identifies a tenant who has acquired a pet in breach of the lease, or a bedroom that has been informally rented to additional occupants.
These things are discovered later. Usually, at the end of a lease, during the vacate inspection, the cost to remediate has already compounded.
THE LEGAL REALITY
The Real Issue Is Evidence
Under Queensland tenancy legislation, landlords carry obligations around maintenance and habitability. If a dispute ends up before QCAT — the Queensland Civil and Administrative Tribunal — your inspection records form part of the evidentiary record.
IMPORTANT
A superficial inspection report that fails to document known issues, or that signed off a property as satisfactory when it was not, can work against you as an owner — even when you are in the right.
The inspection is not just about managing the property. It is about protecting your position if something goes wrong. For that reason, the quality of what gets recorded matters far more than most investors realise — until they are sitting across from a tenant at a tribunal.
WHAT TO LOOK FOR
What a Properly Documented Inspection Should Give You
A thorough inspection should produce something you can actually use: a complete, room-by-room visual record of the property at a specific point in time. Not a summary. Not a selection of photos chosen by the inspector. A full, navigable record that captures the condition of the property in a way that leaves no room for ambiguity later.
WHAT GENUINE DOCUMENTATIONS LOOK LIKE
No ambiguity. No gaps. No room to argue.
→ A complete, room-by-room visual record — not a curated snapshot
→ Documented at a specific, verifiable point in time
→ Navigable after the fact — not just a static PDF
→ Covers every surface, fixture, and fitting in detail
→ Creates an undeniable reference point for both parties
→ Protects your position at entry, routine inspection, and exit
THE CORAL SEA DIFFERENCE
Why We Use 360-Degree Virtual Tour Inspections
This is why at Coral Sea Property Services, every routine inspection is conducted using 360-degree virtual tour technology. You receive a complete visual walkthrough of your property — not a curated selection of photographs the inspector decided were worth keeping.
This gives you genuine visibility over what is happening inside your asset at every point in the tenancy. And it gives both parties an undeniable reference point if any dispute arises — entry, routine, or exit.
If your current agent is doing routine inspections, pull up your last report and compare it to the standard below. If it measures up — great. But if it doesn't, it is worth asking why.
